What we collect
ReadyRoll collects the minimum information needed to operate the service for your club.
- Account information — your name, email address, and role within your club (admin, member, ride leader).
- Club data — session schedules, RSVP records, attendance, member rosters, and waiver records your club creates and manages inside ReadyRoll.
- Activity data — pace and activity history synced from Strava, if you choose to link your account. This connection is optional and can be revoked at any time.
- Payment information— billing and payment processing is handled entirely by Stripe. ReadyRoll does not store card numbers or banking details. We store only the billing status of your club's subscription.
- Usage data — standard server logs (IP address, browser type, pages visited) used for security and performance monitoring.
How we use it
- To operate the ReadyRoll platform and deliver the service to your club.
- To send transactional emails — session reminders, waiver confirmations, billing receipts. We do not send marketing email without your consent.
- To improve the product based on how clubs use it. We do not sell your data to third parties. We do not use your members' data for advertising.
- To comply with legal obligations and respond to lawful requests from authorities.
Third-party services
ReadyRoll uses the following third-party services to operate. Each is bound by its own privacy policy.
- Stripe — payment processing. Stripe stores and processes payment card data under PCI-DSS compliance. ReadyRoll never sees your full card number.
- Strava — optional activity sync. Connecting your account shares pace and activity data with ReadyRoll only while the connection is active. You can disconnect at any time from your profile settings.
- Resend — transactional email delivery (session reminders, receipts, waiver confirmations).
- Railway — cloud infrastructure hosting the ReadyRoll backend. Data is stored in Canada and the United States.
- HubSpot — used by the ReadyRoll founder to manage the sales pipeline for new club onboarding. Only club-level contact information (club name, admin email) is passed to HubSpot. Individual member data is never shared with HubSpot.
Your rights
Depending on your jurisdiction, you may have the right to access, correct, or delete your personal data. You may also have the right to object to or restrict certain processing, or to receive your data in a portable format.

Data retention
We retain your data for as long as your account is active and for a reasonable period afterward to meet legal and operational obligations.
When you request deletion, your account enters a 7-day grace period during which you can cancel the request. After 30 days, personal data is permanently deleted or anonymised. Waiver records and financial records may be retained in anonymised form for legal compliance purposes. See the delete account page for the full deletion timeline.
Cookies
ReadyRoll uses a single authentication token stored in your browser's local storage to keep you signed in. We do not use advertising cookies or third-party tracking pixels.
